Business Overview

The Digital Technology Intern will support The Toffee Shop Limited to transition from paper based and spreadsheet driven processes to the NotaZone digital manufacturing system. The role will focus on practical implementation, data migration, and embedding new digital ways of working across production, stock control, and food safety compliance.

The intern will work closely with operational staff to understand existing processes and translate these into NotaZone workflows, ensuring the system reflects how the business operates day to day.

Project Goals and Objectives 

Goal:

To implement NotaZone as the core operational system for production, stock control, and compliance, replacing manual records and spreadsheets with a single, integrated digital platform.

Objectives:

  1. By 50 hrs, document current paper based and spreadsheet processes across purchasing, stock control, production, and food safety, and map these to NotaZone system workflows.
  2. By 100 hrs, migrate key operational data (suppliers, raw materials, recipes, stock items, and compliance records) from spreadsheets and paper files into NotaZone.
  3. By 150 hrs configure NotaZone to support:
    • Barcode based goods in and stock control
    • Digital production records and batch traceability
    • Food safety and compliance documentation
    • By 200 hrs, support production staff to use digital work orders and shopfloor data capture, reducing reliance on paper records for day to day production activity.
    • By the end of the internship, ensure that core operational processes are routinely recorded in NotaZone, with paper records removed or retained only where legally required.

Scope of Work

  • Review existing paper forms and spreadsheets used for production, stock, and compliance
  • Define digital replacements within NotaZone
  • Support system configuration and testing
  • Assist with barcode setup and stock labelling
  • Support staff during transition to digital processes 

Methods and Tools 

  • NotaZone cloud based manufacturing system
  • Tablets and barcode scanners on the shopfloor
  • Microsoft Excel (for data cleansing and migration)
  • Process mapping and simple user guides

Intern Roles and Responsibilities 
The intern will:

  • Help translate paper forms and spreadsheets into NotaZone workflows
  • Prepare and clean data for upload into the system
  • Support barcode based stock control setup
  • Assist production staff in using digital work orders and records
  • Create simple user guidance to support ongoing use
  • Capture feedback and support continuous improvement
  • The intern will not be responsible for strategic decision making or system procurement.
